Halswell House Terms & Conditions

  1. Venue Hire at Halswell House includes 12 suites and bedrooms. If additional rooms were added to the booking, the appropriate B&B charges would be made to the account.
  2. All Bookings are confirmed only after booking form and paperwork signed and returned, and all relevant deposits are paid. Halswell House reserves the right to cancel your function if payment conditions are not upheld. Receipt of your booking deposit confirms your acceptance of all terms and details.
  3. Venue Hire secures your Wedding at Halswell House. The relevant accommodation deposits for bedrooms must also be paid to hold additional accommodation. Provisional accommodation can only be held for three days.
  4. Deposits are non-refundable or transferable.
  5. Provisional bookings are held for 7 days only, before an "Event Deposit" of 20% of the Venue Fee is required to secure booking. If additional accommodation is booked Room Deposits are required for all rooms booked for overnight accommodation at £40.00 per room, per night. All deposits are deducted off your final account on departure.
  6. Within eight weeks of payment of your deposit another 30% of your invoice is due to be paid.
  7. Twelve weeks prior to your Event the remainder of your account is to be settled.

  9. Four weeks prior to your Event a finalised arrangements list will be issued to be agreed on both parties, any alterations to your event after this point may result in a supplementary cost being charged to your account.
  10. Rooms are allocated to your guests in line with the completed room allocation form which must contain the names and home addresses for all residential guests.
  11. All costs will be billed to the Bride and Grooms account (food, guest's accommodation, entertainment etc.) unless alternative arrangements have been agreed prior to your Event. If guests wish to pay for their own accommodation the cost involved will be deducted from the Bride and Grooms account.
  12. Any extra costs in your event will be added to the Bride and Grooms account.
  13. Halswell House reserves the right to bill any items missed from the first bill at a later date.
  14. Payment of the final outstanding account must be settled on the day of departure from Halswell House.
  15. Events can only be paid via Credit*/Charge*/Debit Card, Cash, Bank Transfer or Cheque (if using a cheque on the departure date then these can only be accepted to the value of the Cheque guarantee card). *See item 33.
  16. Special dietary requirements need to be arranged at least four weeks prior to the Event.
  17. The Boudoir in the Mansion House will be available to the Bride for preparation from 9.00 am, with general access to the Mansion House from 12 noon. We endeavour to ensure that Guest rooms are also available from 12 noon, although on some occasions it may be slightly later.
  18. Check in after 12 noon, unless special arrangements have been made.
  19. Halswell House check out is 11.00 am; bedroom and suite check out is 9.30 am.
  20. No dogs allowed in the house or in the grounds. Only exception is guide or hearing dogs.
  21. There is strictly no-smoking in any part of Halswell House and guests wishing to smoke should do so outside.
  22. Halswell House reserves the right to alter pricing without prior notification.
  23. The use of confetti inside and outside of Halswell House is prohibited. Table decorations that can be used must be agreed with your wedding coordinator.
  24. Due to numerous period features of the Halswell House grounds, children must be supervised by a responsible adult at all times. Whilst we encourage guests to enjoy the garden walks and woodlands, please note that care must be taken as walkways and stairs maybe slippery, particularly when wet. Swimming in the lake and unauthorised use of the boats is strictly forbidden.
  25. The Bride and Groom are responsible for the behaviour and actions of their guests while at Halswell House. Inappropriate behaviour may result in your event being stopped early or cancelled.
  26. The Hirer shall pay for any loss or damage to any part of the Halswell House premises, or to any fixtures, fittings and equipment which are caused by the Hirer or guest or paid servants. Under no circumstances should guests move any of the furniture or fittings. We will not be held responsible for damage to any article brought onto the premises. Halswell House shall not be liable for any loss or damage except within the constraints of the Hotel Proprietors Act 1956. In case of the loss or damage to the hirer it must be reported and then recorded at the time with the Duty Manager.
  27. Halswell House shall not be responsible for the failure to provide facilities contracted for the event of it being prevented from doing so as a result of "Force Majeure" or any other cause beyond its control.
  28. Halswell House reserves the right to alter function rooms depending on guest numbers. Halswell House will only accept children that have a registered child minder to supervise them should the total number exceed four. Details of registered child minders can be given to you from reception. The arrangement for supervision must be made via the event organiser. The house adopts this policy to ensure that all guests have a pleasurable and relaxing stay at the house. Maximum numbers of children we can accommodate on any group booking can be gained from your wedding co coordinators.
  29. After the main bar closes all non-residents must depart from the house, once this has happened The Justice Room bar will re-open at the manager on duty´s discretion and drinks must be charged to room bills. The Justice Room bar will remain open until 3am only if required and if in the unlikely event that guests disrespect members of staff, manager´s and house policies, the remaining open bar will close immediately and public areas will be closed for the evening.
  30. No outside alcohol can be brought onto or consumed on our licensed premises unless agreed with your wedding coordinator and appropriate corkage payment is made. No exceptions of any kind are made in this regard. Halswell House will charge the bridal account automatically or individual guest should this policy not be adhered to.
  31. Halswell House reserves the right to charge full room tariff should we not be able to resell the room due to any of the following.
    • Smoking in any suite or bedroom
    • Breakages rendering the room incomplete to resell to another guest
    • Specialist room cleaning including carpet shampooing required.
  32. Any additional charges made to a bill due to items being missed or damages will be charged later on the original card used to confirm your booking.
  33. A surcharge for the handling of credit cards will be automatically charged of 2.5%. No handling charges are applied to Maestro, Electron, or Delta cards.
  34. We can not accept responsibility for outside contractors and service providers.
  35. All of our food suppliers are subject to strict guidelines for delivery, food storage and subsequent food quality and hygiene. We can not take responsibility for cakes that are not purchased from one of our approved suppliers.
  36. In the event of cancellation we regret that pre payments and deposits will not be refunded under any circumstances. Cancellations must be sent in writing. Should we not be informed of your cancellation in writing, Halswell House will look to recover any loss of profit. On late cancellations the house reserves the right to recover any loss of profit incurred.
  37. Our cancellation policy is if cancellation is within 6 months of arrival 50% charge of all accommodation costs, and within 1 month 100% charge of all accommodation, food and wine costs. It is in our interest to try and re-let the booking on your behalf, and if we are successful, this may reduce your cancellation charges, however we cannot guarantee to do so. We recommend you take out insurance for cancellation.
  38. In all cases English Law prevails.
  39. Due to high demand for certain diary dates we regret that we can only accept booking for Saturdays and bank holidays of a minimum of 70 guests for the principal dining area. All accommodations must be taken. If numbers were to change, these accommodations would still be charged.
  40. We have a 7 day lost and found policy which means we can only keep an item found for that amount of time. It is the guest responsibility to check for all personal belongings at Halswell House before departure, Any items found will be listed at reception and can be collected within that time frame or will have to be sent to the customer at their expense. Any items sent postage must be paid in advance.
  41. Ceremony only booking have strict time allowances for the duration of hire. Further charges could be incurred if these time frames are not adhered to.
  42. To protect the exclusivity of your event, details of all day and (if applicable) evening guests must be supplied to Halswell House before your wedding. Guests with invitations but not on your list will be asked to remain in reception until we can gain the agreement of the bride, groom, or best man for their admission. Guests without invitations and not on your guest list will be politely asked to leave.
  43. To ensure a smooth end to your evening taxis will be pre-booked for your non-resident guests – guests who do not show for their transport will be charged to your account.
  44. Halswell House (for itself, its employees and agents) and the Owner shall not be liable to the Client or third parties for any accident, damage, loss, injury expense or inconvenience, which may be suffered, incurred, arise out of or in any way connected with the hiring of the house. No term of the contract is enforceable under the Contracts (Rights of The Third Parties) Act 1999 by a person who is not a party to the Contract. If the property which the Client has booked becomes unavailable or unusable for some reason prior to the date of a booking, then Halswell House's obligation will be to (1) use reasonable endeavours to find a suitable alternative property, or failing which (2) to reimburse the Client for any monies paid.
  45. Halswell House does not warrant and is not responsible for the accuracy of any verbal information given or statements made by its servants or agents.
  46. We recommend that all our clients take out Wedding Insurance for their event.
